How to Buy Portable 3D Metrology Without Getting Sold

Buying a portable measurement system should be a technical decision. Too often it turns into a sales decision instead, driven by whoever gave the best demo or the biggest discount. Here’s how to keep the choice grounded in the work you actually do.
Every vendor in this space has a good story. The trackers are accurate, the scanners are fast, the software is intuitive. And most of it is true, in the right application. The trouble is that “the right application” is doing a lot of work in that sentence, and it’s rarely the part that gets discussed in a sales meeting.
After decades on both sides of this, buying equipment and later selling it, the pattern is clear. The manufacturers who end up happy with their purchase are the ones who figured out their own requirements first, before a single vendor walked in the door.
Start with the part, not the product
Before you look at any system, get specific about what you’re measuring, not in general terms, but in the terms that actually drive the technology choice:
How big are the parts, and how far do you need to reach across them?
What accuracy do you genuinely need, not what sounds impressive?
How many parts, how often, and how fast does the measurement have to be?
What does the environment look like, vibration, temperature swings, dust, access?
Those four answers narrow the field faster than any feature comparison. A system that’s perfect for a climate-controlled lab can be the wrong call on a shop floor that swings thirty degrees between shifts.

Be honest about accuracy
Accuracy is where the most money gets wasted. It’s tempting to buy for the tightest tolerance you might ever face, but you pay for that headroom on every job, whether you use it or not. Match the system to the tolerances the work actually requires, with a sensible margin, and no more.
The published accuracy of an instrument and the accuracy you’ll get in practice are also two different numbers. Operator skill, fixturing, and method often matter more than the spec sheet.
Look past the sticker price
The purchase price is the start of the cost, not the whole of it. Before you compare quotes, make sure you’re comparing total cost of ownership:
Calibration and annual service
Software licenses and updates
Training and the time it takes a team to get productive
Accessories, fixtures, and the things that never make the first quote
A cheaper system that needs more support can cost more over five years than the one that looked expensive up front.
Questions to put to any vendor
When you do sit down with vendors, a few direct questions cut through the pitch quickly. Ask them to measure a part like yours, in conditions like yours. Ask what the system is genuinely not good at. Ask who supports it when it breaks, and how fast. The answers, and how comfortable they are giving them, tell you a lot.
None of this means the vendors are the enemy. Good ones are a real resource. But their job is to sell their line, and yours is to buy the right tool for your work. Those aren’t always the same thing, and the gap is exactly where an independent read earns its keep.
